Operations Senior Specialist
Job Summary
The Operations Senior Specialist will be responsible for ensuring the successful processing of settlements and minimizing operational, financial, and reputational risks for the company and its clients. This role involves overseeing daily operational activities, approving transactions, managing reconciliation processes, and ensuring all reports are produced accurately and on time. The individual will also manage a team, provide guidance, and contribute to developing and improving operational procedures and processes.
Key Responsibilities
Operational Module Development & Risk Mitigation:
Participate in building and enhancing the operating module to ensure successful settlements processing, avoiding losses and penalties, and mitigating operational, financial, and reputational risks.
Portfolio & Instrument Approval:
Check and approve the creation of portfolios, instruments, brokers, and other relevant entities in the operations system.
Corporate Actions Monitoring & Approval:
Monitor corporate actions daily and ensure that the necessary actions are performed by the operations officers. Approve created events on the system.
Reconciliation Management:
Ensure reconciliation is completed on time and accurately, signing off on processes and resolving any discrepancies.
Process Monitoring & Issue Resolution:
Ensure the timely and accurate processing of all operations. Address any settlement issues or discrepancies, escalating unresolved issues to the Head of Operations.
Reporting:
Ensure timely and accurate production of required reports, including daily, weekly, and monthly reports as per the Financial Regulatory Authority (FRA) guidelines.
Cash Transaction Review:
Review daily cash transactions and resolve any discrepancies that arise.
Settlement Execution:
Oversee the settlement of stock executions on the settlement date within the operations system.
MCDR System Approval:
Approve allocations in the MCDR system (Registered Owner and Beneficial Owner).
Currency & Price Updates:
Approve currency and price updates in the operations system.
Document Filing & Archiving:
Ensure proper filing and archiving of documents in line with company policies.
Incident Reporting:
Report incidents and issues to the Head of Operations, ensuring compliance with audit standards and providing necessary resolutions.
Client Query Resolution:
Ensure timely responses to clients' queries related to settlements and operations, and handle calls to explain processing procedures as needed.
Process & Product Development:
Participate in the development and implementation of processes for new products and modifications in existing market settlement procedures.
Team Management & Development:
Supervise and manage the assigned team, ensuring tasks are carried out efficiently and in accordance with operational policies.
Provide on-the-job training and constructive feedback to support team members' development.
Cross-Department Collaboration:
Work with internal departments and external stakeholders to manage projects, re-engineer processes, and reduce manual activities.
Portfolio Review & Policy Alignment:
Review fund investments and ensure they align with the agreed and approved investment policies.
Leadership & Ethical Standards:
Promote the organization’s values and ethics to support the establishment of a value-driven culture within the team.
System Upgrades & Project Participation:
Participate in system upgrades, understand project requirements, and actively contribute to system changes that enhance operations.
Client & Product Requirement Analysis:
Understand new client requirements and products, discussing necessary changes with relevant teams to ensure alignment.
Risk Mitigation:
Apply checks and controls as per detailed procedures to mitigate operational risks.
Qualifications
Bachelor's degree in Finance, Accounting, or related fields.
Minimum 4 years of experience in asset management.
Strong communication and interpersonal skills.
Excellent verbal and written communication skills in English and Arabic.
Proven leadership and management skills, with the ability to guide and develop a team.
