Operations Officer
Job Summary
As an Operations Officer, you will be responsible for overseeing various operational aspects within asset management. Your tasks will include portfolio and cash account management, client contract and event management, entitlement management, financial transaction management, obligation management, compliance, reporting, reconciliation, and other operational-related duties.
Key Responsibilities
Portfolio & Cash Account Opening:
Open portfolios and prepare cash account opening requests with the bank.
Client Data Validation:
Review client data automatically created by the BOKRA application in the operations system and validate it.
Unified Code Management:
Issue and update the unified codes in the EGX system.
Client Contract Review:
Review client contracts and define the agreed tariff in the operations system after investment manager approval.
Corporate Actions Monitoring:
Monitor corporate action events published on the primary source of information for the market and all event details.
Corporate Actions Recording:
Record corporate action events in the operations system by creating new events or amending existing ones as needed when updates are announced.
Entitlement Generation & Reconciliation:
On record date, ensure entitlements are generated for entitled clients and perform a reconciliation against the depository records, making any required amendments.
Payment Processing:
On pay date, request payment for events from the market depository, capture all payment details (including taxes) for each client, monitor the receipt of funds, and arrange crediting net amounts to entitled clients' cash accounts.
Voluntary Events Management:
Monitor client instructions related to voluntary events (e.g., meetings, IPOs, rights issues, capital increases) and take the necessary actions.
Instrument/Product Creation:
Create instruments/products with full details in the operations system.
Trade Confirmation:
Confirm trade details with investment managers and counterparties.
Mismatch Reporting:
Report any mismatches to counterparties.
Daily Rates & Cash Checking:
Check daily rates with banks for call accounts and time deposits.
Commission Collection:
Collect the company-agreed commission monthly and deduct it from clients' cash accounts.
Cash & Funding Management:
Check funding and cash availability for clients with executions daily.
Obligation Management:
Check net obligations from/to the settlement account and proceed with the required actions (cash in/cash out), making relevant entries on the clients’ cash accounts.
Compliance:
Comply with all applicable laws, regulations, and policies.
Incident Reporting:
Report any incidents involving actual losses or missed procedures.
Reporting:
Prepare all required reports for concerned parties (internal and external).
Cash Transaction Reconciliation:
Reconcile cash transactions with the bank's account and report any discrepancies to management.
Client Position Reconciliation:
Reconcile client positions against the depository.
Regulatory Reporting:
Prepare and submit regular reports required by regulators.
Client Statement Preparation:
Prepare and send clients’ monthly and quarterly statements according to the agreed method (email, courier).
Qualifications
0-2 years of experience in securities services.
Excellent verbal and written communication skills.
High level of accuracy and attention to detail.
Solid understanding of operations and accounting activities.
Ability to work under pressure, prioritize tasks, manage several responsibilities simultaneously, and work well within a team.
